What Microsoft 365 Copilot includes

Microsoft 365 Copilot is the add-on AI assistant that integrates directly into the Office apps (Word, Excel, PowerPoint, Outlook, Teams, OneNote, Loop) and across Microsoft Graph — so it can read, write and reason over your own organisational data without that data leaving your tenant. It is sold as a separate per-user add-on, not included in any of the base Microsoft 365 plans.

Cost per user

Microsoft lists Copilot at £24.70 / user / monthwith an annual commitment (UK price; CSP terms may vary). That ison top of the base Microsoft 365 plan. A typical all-in cost looks like:

Prerequisites — before you turn it on

  1. Qualifying base licence for every user who’ll receive Copilot (see matrix above).
  2. Entra ID (formerly Azure AD) identity for every Copilot user — a real Microsoft 365 mailbox/account, not a shared mailbox.
  3. OneDrive for Business provisioned — Copilot stores prompt history per user in OneDrive.
  4. Up-to-date Office desktop apps on the Current Channel (or Monthly Enterprise Channel). Semi-Annual Channel users won’t see the Copilot UI.
  5. Microsoft Loop enabled at tenant level for cross-app workspace experiences.
  6. Tenant in the same country as billing — UK tenants buy via UK CSP for proper VAT treatment.

Data residency & security

  • Copilot operates inside the Microsoft 365 service boundary. Your prompts and grounding data never leave your tenantand are not used to train Microsoft’s foundation models.
  • For UK customers, data stays in the EU Data Boundary by default; UK-resident customers can opt into UK-only storage for chat data.
  • Respects existing Microsoft Purview sensitivity labels, DLP policies and conditional access policies — if a user wouldn’t normally be able to see a file, Copilot can’t surface it.

Sensible rollout plan

  1. Audit — review existing SharePoint/OneDrive permissions. Copilot will surface anything a user can access; over-permissioned shares become very visible very fast.
  2. Pilot with 5–25 power users for 30 days.
  3. Train — half a day of prompt-craft training pays back instantly.
  4. Measure using Microsoft’s Copilot Dashboard inside Viva Insights.
  5. Roll out in waves of 50–100 users, retaining the licences for those getting most value.
